Scan in all papers and documents at a scanner. They will be archived directly without further editing. PC processing is not necessary with BvLArchivio®The order what is to be done with the document is scanned in together with the document. You can select the search terms (keywords) to be referred to the document. You can select whether the search terms of the document pop up automatically, or if you want to replace them or supplement them, with individual search terms. The scanned documents are automatically stored as PDF-a. Each PDF-a file is automatically searchable in itself. Please look at our training films to see how easy archiving with the scanner is. Archive scanned documents directly from your network scanners to the archive without further processing. Just scan and the document is archived, without processing on the PC.
Select a file directly from your computer and transfer it to the archive. You can select any file from your PC, all file formats can be archived. Just select the file from your computer and enter the search terms under which your file will be searched in the archive. Click on „Save“ and your file is immeadiately and safely archived. Files you store directly from your PC into the archive are not converted to PDF-a. These files will retain their original format. This way you can edit your files later, and re-archive them. Archive files in original format with BvLArchivio® or store high-resolution images, special files, music files or office files. You can archive any file format you want. BvLArchivio® offers fully automated archiving from other programs. Other programs such as material logisitics and accounting programs or e-mail-server can archive fast and easily directly to BvLArchivio®. Just copy these files to the BvLArchivio® input folder, and add a simple instruction text file at the same time. The instruction text file includes the search terms for the file to be archived. All other programs can work together with BvLArchivio®.
BvLArchivio® automatically converts all documents scanned from any scanner to the format „PDF-a“ and stored in „PDF-a“ format. This format is the official long-term archive format. You can open, read, search and print
PDF-a files with a standard PDF-Reader (available for free in the WEB/Internet. PDF-a is a series of
ISO standards for use of Portable Document Format (PDF) for long-term archiving of electronic documents.
PDF-a rules the use of PDF conform to standards for instance for output on screens and printers.

BvLArchivio® is a database supported archive server system.
BvLArchivio® can process up to 15,000 inputs (scanned documents and/or files) per day. BvLArchivio® is extremely powerful and answers archive queries in fractions of seconds.
In the present version, BvLArchivio® can store up to 1 billion data records (search terms, directories, sub-directories, etc.) BvLArchivio® can be expanded without limit. The number of files or documents is unlimited. The limit is defined by the disk capacity. 1 GByte hard disk memory will store approx. 5,000-10,000 pages depending on the density of info on the scanned page. With a 500 GByte hard disk (standard delivery BvLArchivio®) you can store between;2.5m and 5m pages. The hard disks can be extended any time. You can also use several BvLArchivio®-Servers. Your archive can be distributed over several BvLArchivio®-Servers. BvLArchivio® grows with you and is suited for all sizes of enterprises.
BvLArchivio® causes no other costs, such as license costs, installation costs or training costs. You can integrate all worktops and scanners wihtout additional license costs. BvLArchivio® works with future-proof browser technology. The number of scanned pages or archived files is not relevant. Users don't need training thanks to the user-friendly self-explanatory menus. NO! It is not possible to delete, overwrite or edit files in the archive. Archiving would not be revision-proof if files could be deleted, overwritten or manipulated in the archive.
YES! It is possible to archive documents or files in the archive again and agian. Scanned documents and folders automatically get a unique file name from BvLArchivio.® It is not possible to overwrite existing documents or files. Changes on documents or files are made visible by the existence of several versions of the scanned documents or files in the archive. Files and folders are found via search terms only and never via filenames.
All network scanners that scan on FTP can be used if they work in format TIF or MultiTIF with at least 300 dpi. Copyers or multifunction instruments today normally fulfill these requirements. Ask you office equipment provider.
NO! Customers today normally already have scanners, multifunctional instruments or copyers with scanner function. Therefore we do not include scanners in the delivery. Scanner or multifunctional instruments working with BvLArchivio® are available from EUR 500.00 on the market or from our local partners.
NO! Every workplace, notebook or other computer can work with BvLArchivio®.
The only requirement is an Internet browser on the worktop, and that the worktop/computer can work in the network, which means it neads a network card.
BvLArchivio® is independent of operating systems. BvLArchivio® can be used from all worktops, notebooks and other computers regardless of which operating system is installed on the different
computers.
BvLArchivio® can also be used by companies working with several different operating systems.
You can return the entire system BvLArchivio® to us within 14 days of delivery at no extra costs. If you are not satisfied with BvLArchivio® just return it to us. We will arrange the pick-up. As no workplace installations are required, no de-installations are required as well!
YES! BvLArchivio® has fully automated integrated data back. All documents and files are automatically stored on two hard disks during archiving: on the original and on the data back up disk. At delivery, BvLArchivio® has three hard disks, one original disk and two data back up disks. You have to alternate the two data back up disks regularly.
You define the intervals in which you alternate the hard disks: daily, weekly or monthly.
Always keep the second data back up disk in a separate place!
If the entire server incl. the data back up disk in the system is stolen or damaged, the other data back up disk you kept in a separate place is your last resource! You only need a new BvLArchivio® Server in which to insert your data back up disk, and your personal BvLArchivio® is ready to run again. The exchange of data back up disks is very easy, and can be assigned to any person. You can also work with more than two data backup disks for BvLArchivio®.
BvLArchivio® warrants highest data protection! The data cannot be copied or transferred remote by IT-internals. BvLArchivio® does not permit remote connections. No one can login directly at the BvLArchivio® Server. All archive data are stored in encrypted format on the hard disks! If one of the hard disks is stolen, or falls in unauthorized hands, the data cannot be read. All your documents and files are stored on the hard disks in encrypted format! There will never be 100 % protection, sooner or later and with suitable tools, any system can be decoded sometime, of this you have to be aware in the digital age. Theft of your data from your BvLArchivio® is possible only if one of the hard disk is physically stolen. Increase your data protection by monitoring handling and position of your hard disks to exclude theft.

YES! BvLArchivio® is generally delivered without limitations. However you can always alter this setting. You can set-up BvLArchivio® so that all can search in the archive, but not all can archive. Only select employees who know the archiving code are then authorized to search and archive. You can modify the archiving code any time. You are free to define the archiving code.
YES! BvLArchivio® transfers your valuable data automatically on new storage media upon request, or no later than every four years. It doesn't matter whether the transfer is due a defect hard disk or due to new storage media technology.
Your entire data inventory is transferred regularly to new storage media. You are always on current technological level. This means you fulfill the legal requirements of being able to make your data legible in 10 years from now.
YES! BvLArchivio® offers fast and easy direct import from all users and applications.
The file to be archived can be stored by copying or by FTP-Upload into the BvLArchivio® directory. You can archive all types of files. With every archived file, you have to copy or send a text file. This text file has to have the same filename. The text file must include only the control symbols and search terms under which to archive the file in BvLArchivio® .
The archived file retains the original format. This means you archive your file in the format in which the file was created by the external application.
You may request this file later from the archive and store it on your worktop for processing. This interface can also scan documents from external service providers.
They only have to deliver the scanned documents as files with matching text files for the archive. You as customer define what has to be in the text files. For more information see the brief instruction.
YES! BvLArchivio® offers direct access to the archive from other applications. You can fully integrate BvLArchivio® into your application. The external application only has to be able to open the Browser from the user with an URL. The URL includes the BvLArchivio® address and the search terms. For more information see the brief instruction.
YES! You can print from any application with a TIF printer driver directly to BvLArchivio®.
BvLArchivio® automatically processes all TIF prints as if a scanned picture had been sent from a scanner.
